Payroll and Benefits Administrator

Job Description

The Payroll & Benefits Administrator is responsible for processing payroll accurately and on schedule, administering employee benefits, maintaining employee records, and supporting required HR documentation. This role ensures payroll, benefits, employee files, onboarding paperwork, and termination records are accurate, confidential, and compliant with applicable laws, company policies, and benefit plan requirements.

$23 - $27/Hour

Duties & Responsibilities

  • Set up new employees in the payroll system and maintain accurate employee and payroll records.
  • Process payroll accurately and on schedule, including regular wages, overtime, deductions, taxes, garnishments, and benefit deductions.
  • Review and reconcile payroll reports to ensure accuracy before and after payroll processing.
  • Coordinate payroll tax filings and year-end reporting, including W-2s and other required payroll forms.
  • Assist Manager with employee questions related to payroll, deductions, taxes, paid time, and benefits.
  • Administer employee benefits, including health insurance, 401(k), FSA, enrollments, changes, deductions, and related employee communications.
  • Maintain employee files and ensure employee records are complete, organized, confidential, and up to date.
  • Manage compliance paperwork, including required employment forms, handbook acknowledgments, and policy acknowledgments.
  • Support onboarding by completing new-hire paperwork, background checks when applicable, payroll setup, benefits information, and onboarding checklists.
  • Prepare and maintain termination paperwork, final pay documentation, benefit notices, and related employee file records.
  • Provide documentation support for discipline, attendance, performance concerns, and other employee record matters as directed by management.
  • Support payroll, benefits, and employee file audits by providing accurate records and documentation.

Qualifications

  • Experience processing payroll and maintaining payroll or employee records.
  • Knowledge of payroll procedures, wage and hour requirements, payroll taxes, and employment documentation requirements.
  • Experience administering employee benefits such as health insurance, 401(k), and FSA plans preferred.
  • Strong attention to detail, accuracy, organization, and follow-through.
  • Ability to maintain confidentiality and handle sensitive employee information appropriately.
  • Strong communication skills and ability to assist employees with payroll and benefits questions.

Technical Skills

  • Payroll software systems
  • Microsoft Excel and spreadsheets
  • Employee recordkeeping and data entry systems
  • Basic accounting or bookkeeping software

Work Experience

  • Previous experience in payroll, HR administration, bookkeeping, accounting, or benefits administration preferred.
  • Associate degree in accounting, business administration, human resources, finance, or related field preferred but not required.
  • Coursework or certification in payroll administration, bookkeeping, accounting, or benefits administration is helpful.
